This issue of the Tax Exempt Institutions Connect informs taxpayers about SARS’s digital channels and the importance of keeping registered details up to date. We cover eFiling features for Tax Exempt Institutions, including improvements to the Auto-Merge function. We discuss features of the SARS Online Query System (SOQS). This issue guides taxpayers on how to update their registered details, including banking information. Lastly, we highlight educational micro-learning videos available on the SARS YouTube channel.

SARS eFiling

SARS is pursuing a “go green” approach when engaging taxpayers. All correspondence will now be delivered electronically to your eFiling profile and other digital channels. Eliminating physical mail allows SARS to improve operational efficiency, reduce reliance on third-party vendors, deliver correspondence faster and more reliably, and become more environmentally sustainable. Taxpayers can access all communications from SARS through eFiling.

Tax Exempt Institutions are urged to register on eFiling, where they can:

  • Update the Tax Exempt Institution’s registered details (including bank details and Registered Representative).
  • Submit annual returns.
  • Enquire about outstanding returns, debt, and payments.
  • Obtain their Tax Compliance Status.
  • Submit third-party data, such as the IT3(d) (tax deductible receipt information issued to donor taxpayers) and IT3(t) (beneficiary information).

Using SARS eFiling offers several benefits for taxpayers. Here are some of the key advantages:

  • Convenience: eFiling allows you to submit your tax returns and other documents online.
  • Accessibility: you can access eFiling from anywhere with an internet connection, making it easy to manage your tax affairs at any time.
  • Efficiency: eFiling streamlines submitting tax returns and allows you to track the status of your submissions online.
  • Accuracy: eFiling reduces the risk of errors by providing built-in checks and validations. This helps you submit tax returns that are accurate and complete.
  • Security: eFiling is secure, protecting your personal and financial information. It uses encryption and other security measures to keep your data safe.
  • Timely Updates: eFiling provides timely updates and notifications, keeping you informed about important deadlines and any changes to your tax status.

SARS has enhanced the eFiling Auto-Merge feature to help taxpayers, representatives, and tax practitioners merge various taxes (Income Tax, Employees’ Tax, Customs & Excise) into one profile per client/entity.

Auto-Merge (actioned by SARS) has been improved to cater for likely and possible matches. A possible or likely match refers to records that match one or two key identity-information fields, for example surname or name, or registered name for companies. The likely and possible matches will include companies, individuals, and Trusts (Testamentary and Inter vivos only).

Auto-Merge excludes records of large businesses, government institutions, municipalities, clubs, welfare organisations (as defined in the VAT Act), collective investment schemes, foreign entities with passport numbers, and estate cases.

SARS will notify taxpayers of proposed merges by digital communication, such as e-mail and eFiling. Taxpayers can object on eFiling, at a SARS office, or through SOQS, with the taxpayer providing detailed reasons for exclusion from the profile.

SARS Online Query System (SOQS)

SOQS offers a variety of services to help you manage your tax queries and tasks. Here are some of the key functions you can access:

  • Submit Queries: use this function for filing issues, payment concerns, or general tax inquiries.
  • Track Queries: once you have submitted a query, you can track its status and get updates on its progress.
  • Request Tax Compliance Status: ask for and receive your Tax Compliance Status, which is essential for various financial and legal processes.
  • Access Tax Certificates: request and download various tax certificates, such as ITA34, which is your Notice of Assessment.
  • Update Personal Details: update your personal information, such as contact details and banking information, so that SARS has the most current information on file.
  • Upload Supporting Documents: if you have a case number, you can upload supporting documents on SOQS. Such documents can include an application for Income Tax Exemption by using the case number issued.

Updating of Registered Details with SARS

All Tax Exempt Institutions must inform SARS within 21 business days of any changes to their registered details, including:

  • Registered Representative
  • Physical Address
  • Contact Number
  • Contact Email Address
  • Banking Details (for timely refunds)

Updating your contact details is a legal requirement to remain compliant with the provisions of your exemption granted by law. There are other important reasons why you must keep your details updated.

Why Update Your Details

  • Stay informed with important tax updates.
  • Let only authorised individuals access your tax affairs.
  • Receive One-Time Pins (OTP) for eFiling-account access and banking-detail updates.
  • Outdated contact details can prevent OTP delivery, hindering banking updates.
  • Secure your account by keeping log-in details current.

To Update Security Contact Details (to receive OTPs)

  • Log in to eFiling.
  • Click “My Profile” on the left-hand menu.
  • Select “Profile and Preference Setup” and update your email or cellphone number under “Security Contact Details”.
  • Verify changes with an OTP sent via email or SMS.
  • Save changes after OTP verification.

To Update Banking Details

  • Log in to eFiling.
  • Click “Update My Personal Income Tax Bank Account”.
  • On the Banking Details Update screen, click “Maintain SARS Registered Details”.
  • Select your bank from the drop-down menu and enter the required information.
  • Confirm changes with the OTP sent to your preferred communication method. 

Note: if both your email address and cell phone number have changed and you cannot follow the steps above, you will need to call the SARS Contact Centre (0800 00 7277) or visit a SARS branch to verify your identity. To avoid long queues, remember to book an appointment.

S18A Tax-deductible receipts

S18A approved organisations must issue tax-deductible receipts on time with all the required information, or it may be disallowed in the hands of the donor claiming the receipt.

Please note: all donor taxpayers who will claim Section 18A tax deductible receipts must ensure that the tax deductible receipts meet the requirements as set out by SARS. SARS reserves the right to request the tax deductible receipt(s) issued to donor taxpayers as part of the supporting documents given with annual returns.
